Information we process
- Account name, email, password hash for password accounts, verified Google identity identifiers, and session records.
- Society details, membership and committee roles, flat references, contact information supplied by the society, billing amounts, invoices, payment confirmations and audit records.
- Messages, advisory poll participation and votes, reports, blocked-sender preferences, support and deletion requests.
- Documents and photographs you upload, file names and Drive identifiers, document summaries and AI suggestions. Optional microphone recordings are processed only when you choose recording or upload.
- Operational logs needed to run and secure the service, which may include IP addresses, request times and errors.
Purposes and access
We use information to sign you in, link a verified Google email to a society roster, apply access permissions, store and display records, generate bills, support communication, run advisory polls, investigate abuse and respond to requests. Matching an unverified password-registration email does not grant society access.
Society members and committee users see information according to their role. Chat is visible within its society. Votes are stored against user accounts; poll results are aggregate in the app, but voting is not anonymous to the platform operator. Society roles determine access.
Google sign-in and Google Drive
Sign-in uses basic identity scopes (openid, email and profile). Drive is connected separately by an authorised society administrator using the drive.file scope, for files created or made available to this app. We do not request unrestricted access to your entire Google Drive.
Society documents remain in the connected Drive account. The server processes file bytes transiently for upload, download or extraction, and stores metadata and workflow records in its database. New personal documents are saved in the member’s separately connected Google Drive, using the same email as their My Society Management account. Committee members cannot browse these files through the app. Google Drive sharing and Workspace administrator policies still apply. Earlier personal uploads remain in the society’s Drive until the member explicitly downloads and re-uploads them; its owner can still access those originals. Disconnecting removes the app’s saved personal credential, not files in Google Drive.
Webgodzilla’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used only for the requested user-facing features and their security/support needs. It is not sold, used for advertising, or used to train general-purpose AI models. Human access is limited to your consent or necessary security, support and legal handling permitted by those policies.
AI and service providers
Document extraction and classification use the operator-configured AI service; this deployment is designed for a self-hosted Ollama model. Relevant document content may be processed to produce a draft or classification. Voice transcription, when enabled, uses the operator-configured speech service. Do not enable a third-party processor without updating the disclosure and obtaining appropriate consent. AI results are suggestions requiring review, not autonomous billing, payment or legal decisions.
Google provides sign-in, Drive and Play billing. Hosting and operator-authorised support providers may process data to deliver the service. We do not sell personal data or include advertising trackers in this app build. Google’s services have their own policies. The operator must keep this disclosure accurate when adding providers or analytics.
Cookies and local storage
The app uses essential session and Google sign-in cookies to authenticate requests and protect sign-in flows. The service worker does not cache private API responses or society documents for offline use. The app build has no advertising cookies. The WordPress website may use additional plugins or analytics, which require their own accurate disclosures.
Security
The service uses HTTPS, hashed passwords, role and society access checks, and encrypted stored Google refresh tokens. These measures do not make society data end-to-end encrypted. Protect your account and limit sharing in Google Drive.
Retention and deletion
Active account and society records are kept while needed for the service. Request account deletion in Account & privacy or on the deletion page. We review account data, personal messages and associated documents for removal. Society-owned invoices, approval histories, audit trails and information required for legal, accounting, security or fraud-prevention purposes may need retention; we will explain any applicable retention to you. Backup copies may remain until their normal replacement cycle. Deleting app access does not itself delete society-owned Drive files.
The current release records deletion requests for operator handling rather than instant automatic erasure. Contact Webgodzilla for access, correction, deletion, retention details or a privacy concern. Identity verification may be required before acting.
Your controls
You can revoke the Google connection in your Google Account connections, stop microphone/camera access using device settings, and report or block chat content. Revoking Drive permission prevents future access but does not erase files already created.
Children and changes
The service is intended for adults managing or participating in housing societies and is not directed to children. We may update this policy when practices change and will update its effective date. Significant changes requiring consent will be presented before the relevant use.
