Your society’s documents. Your Google Drive.

An authorised administrator connects a society-controlled Google account once. Individual societies do not need to create Google Cloud projects; Webgodzilla configures the platform’s OAuth application.

Personal documents and society documents

Society administrators connect a society-controlled Drive for shared society records. Each member can separately connect their own Google account from My documents. New personal uploads are saved in that member’s connected Drive, using the same email as their My Society Management account. Personal uploads require an eligible subscription. App administrators do not gain access to these personal files through their committee role.

Older personal documents saved through a society connection remain in that original Drive; its owner may still access them. The app does not automatically move or delete these files. Members can download and upload a copy to their personal Drive. Disconnecting stops the app using that connection and leaves files in Drive. Google sharing settings and account policies also apply.

What permission is requested?

The app requests https://www.googleapis.com/auth/drive.file to create and work with files and folders it creates or that you explicitly make available to the app. This is not blanket permission to read your entire Drive. Pasting a folder link or setting “anyone with the link” does not authorise the app through OAuth.

Setup steps

  1. Choose a society-controlled Google account and confirm the committee authorises its use.
  2. In Documents, choose Connect Google Drive. Review Google’s consent screen and approve only if you agree.
  3. Choose Create / check folders to create the society’s folder structure.
  4. Upload documents into the pending-review flow. Check suggested names and folders before approval.
  5. Manage who can view or edit files in Google Drive itself. Avoid public editor links for society or personal records.

Folders and private evidence

Categories include registration, property records, meetings, accounts/audit, member records, notices, vendors, parking, correspondence and archives. Payment evidence and personal saved files use private app-created files without inheriting broad shared-folder access. The connected Drive account owner can still access them. Existing arbitrary folder mapping is not available in this release.

Revoke or remove

Revoke the app at Google Account connections. This stops future authorised access but leaves existing files in Drive. The owner manages Drive file deletion and sharing. Reconnect in the app if you choose to restore access.
